Review and revoke old share links in bulk
4 min read
Share links accumulate — pitch decks from last year, review links for projects that shipped months ago. The link audit shows every active link in the workspace so you can clean them up in one pass instead of folder by folder.
- 1 Open Admin → Sharing → Link audit. Every active link is listed with its folder, creator, creation date, and last-viewed date.
- 2 Filter to what’s stale: “Created more than 90 days ago” and “No views in 30 days” are the two presets most teams start with.
- 3 Want a record first? Export the filtered list to CSV before touching anything.
- 4 Select all and click “Revoke selected”. Revocation is immediate — anyone opening a dead link sees a polite “this link has expired” page, not an error.
To keep the list from regrowing, set a default link expiration under Admin → Sharing policies — new links then retire themselves and the quarterly cleanup stays small.
